DESCRIPTION

Position Overview: Hudson Community Enterprises in partnership with Kean Stage at Kean University in Union, NJ, is seeking a dedicated Administrative/Marketing Assistant to support the Manager of Kean Stage with daily operations and marketing activities. The ideal candidate is highly organized, a strong communicator, and passionate about the performing arts. This part-time role offers the opportunity to engage in administrative and event-related responsibilities, contributing to the success of Kean Stage's events and programming.

Essential Duties and Responsibilities:

  • Maintain the Manager of Kean Stage’s calendar and daily schedule, ensuring efficient time management.

  • Answer phones, direct calls, and take messages.

  • Perform clerical duties, including data entry, reporting, filing, and basic record-keeping.

  • Schedule meetings, prepare agendas, and take and distribute minutes to team members.

  • Serve as a liaison between the Theatre Management & Programming Office and various University offices, departments, and external partners (e.g., artist management and agents).

  • Manage office supply requests and work orders with various University departments such as IT, Facilities, and University Relations.

  • Research programming and artist sales at comparable venues, assisting in strategic planning.

  • Create detailed spreadsheets and reports on artist and speaker data.

  • Arrange hospitality, travel, merchandise, and accommodation for artists as required.

  • Coordinate ASL interpreters for events, ensuring all necessary event details are provided.

  • Provide on-site event support as an artist liaison or front-of-house staff member when needed.

Marketing Responsibilities:

  • Assist with marketing campaigns for events, collaborating with internal teams to promote programming through digital and print channels.

  • Post pre-designed materials and copywriting on social platforms to raise awareness of upcoming performances.

  • Maintain and organize artist/programming assets.

  • Update community calendars.

  • Assist in coordinating and scheduling the design and distribution of promotional materials such as flyers, posters, and digital banners in collaboration with the design team.

  • Support email marketing efforts by managing and updating email lists, as well as monitoring email campaign performance.

  • Research and engage with potential sponsors, advertisers, and community organizations to enhance event visibility and secure partnerships for promotional purposes.

  • To increase public engagement, help organize promotional events, artist meet-and-greets, and community outreach programs.

  • Stay informed on industry trends and competitors’ marketing strategies to help shape future campaigns.

Requirements:

  • Bachelor’s degree or equivalent administrative experience.

  • Experience in marketing, particularly in the entertainment field..

  • Strong communication skills, both written and oral.

  • Proficiency with Microsoft 365 and Office Suite.

  • Ability to work independently and meet deadlines in a fast-paced, academic environment.

  • Strong organizational skills with attention to detail and the ability to manage multiple tasks.

  • A flexible, proactive attitude with a collaborative spirit.

  • Knowledge or passion for the performing arts is a plus.

Position Details:

  • Part-time, hourly position, with a minimum of 20 hours per week, assigned to Kean University by Hudson Enterprises. This position requires a flexible schedule including evening and weekend hours.

  • In-person position.

  • Compensation commensurate with experience.

  • Immediate start.
